Features / Quoting and invoicing

Finish the work with the details ready to bill.

The job is done. Now you need the hours, the parts and the customer's sign-off before you can send the bill. Field connects your quote, job records and invoice, so you have less to piece together when the work is finished.

Give customers a clear choice before work starts

Build quotes from your price book, with line items, tax settings and a validity date. Show what is included so your customer can review the work and the price together.

Offer several options on one quote when there is more than one way to do the job. Each has its own items and total, and you can recommend one.

Carry the agreed work into the job

Turn the accepted quote into a linked job with its line items. Keep the agreed work close to the schedule and the records your crew add on site.

When it is time to invoice, review the recorded hours and materials alongside what was quoted.

Catch missing evidence before sending the bill

Some customers need photos, a signature or other proof before they will process an invoice. Set their billing evidence requirements and see which completed jobs are missing something.

Follow up the gaps while the job is still fresh, rather than discovering them after the invoice is returned.

See what is paid and what needs a follow-up

Record payments against each invoice and see the remaining balance. The aged receivables report groups outstanding amounts by how long they have been owed.

Use that view to decide who to contact next. Payment reminders are still sent by a person during beta.

Take one quote through to an invoice

  1. Quote from your price bookPull priced line items instead of typing them, set your tax treatment, and put a validity date on it so it does not sit open forever.
  2. Send options, not a single numberOne quote can carry several options at different levels, each with its own line items and total, and you can mark one as recommended.
  3. The accepted quote becomes the jobNo retyping. The quote is marked accepted, the job carries its line items, and the two stay linked.
  4. Record the work as it happensHours clocked, materials used and their costs attach to the job as the work happens.
  5. Invoice from the completed jobField prepares the invoice from what was recorded, with your own sequential numbering and your payment terms.
  6. Send the invoice and track the balanceField tracks what has been paid and what is still owed. Online card payment depends on the payment provider being configured.

Review the hours, materials, rates and tax settings before sending the invoice. Keeping the job records nearby makes those checks easier.

Keep your billing process connected to the work

A quote says what you agreed to do. The job record shows what your crew recorded. The invoice brings the billing details together. Keeping them linked helps you answer questions without searching through separate messages and spreadsheets.

Start with a familiar job and check the invoice against your usual process. Online card payments need a configured payment provider. Your accounting system still handles the ledger, reconciliation and tax filing.

What's included

  • Quotes and estimates built from your price book, with draft, sent, accepted, declined and expired states and a validity date
  • Quote options at several levels on one quote, each with its own items and total, one markable as recommended
  • Linked quotes, jobs and invoices so you can carry the agreed work through billing
  • Invoice from a completed job, prepared from the hours and materials already recorded
  • Your own invoice numbering, sequential per business instead of a random reference
  • Tax per line, inclusive or exclusive, at the rate you set
  • Payment terms with a due date and a running balance of paid against outstanding
  • Invoice links and payment recording customers can open the invoice without an account, and payments can be recorded against the balance
  • Recurring invoices for customers on a service agreement
  • Milestone billing for work invoiced in stages rather than all at the end
  • Credit notes and refunds when something has to be put right
  • Billing evidence requirements per customer, with a list of completed jobs that are missing something
  • Material variance comparing what the supplier receipt says against what was billed
  • Aged receivables showing what you are owed, bucketed by current, one to thirty days, thirty one to sixty, sixty one to ninety and over ninety, per currency
  • Revenue summary of total invoiced against total paid
  • Accounting and payroll export records export as CSV and JSON; direct accounting connections are not available yet
What it does not do yet
  • Take a deposit or a part payment up front on a quote. Payment is recorded against an invoice
  • Chase overdue invoices automatically. The balance is tracked and visible, but the reminder is still sent by a person
  • Keep a general ledger, a chart of accounts, bank reconciliation or your tax return. Field bills the work; accounting still belongs in your accounting system
  • Send a formatted purchase order document to a supplier. Requests are raised and approved inside Field, but the order still reaches the supplier by phone or email

Who uses it

Any field business that quotes work and bills for it. Trades, cleaning contractors, landscaping and grounds, pest control, security, equipment servicing, property maintenance. It suits both sides of the market: one off jobs for householders, and recurring commercial work with evidence requirements and stage payments.

Questions before your first invoice

Can I give a customer several quote options?

Yes. Each option has its own line items and total, and you can mark one as recommended. Your customer can compare what is included before choosing.

Can an accepted quote become a job?

Yes. The job carries the accepted quote line items and stays linked to the quote. You can then use the job records to prepare and review the invoice.

Can I invoice from a completed job?

Yes. Field prepares an invoice using the recorded hours and materials. Review the records, rates and tax settings before sending it.

What if a customer requires photos or a signature?

Set their billing evidence requirements. Field lists completed jobs that are missing required evidence so you can follow up before invoicing.

Can customers pay online?

Online card payment needs a configured payment provider. You can still share an invoice link, give payment instructions and record payments against the balance.

Can I see overdue invoices and send reminders?

The aged receivables report shows outstanding balances grouped by age and currency. Automatic chasing is not built yet, so you send the reminders yourself.

Can I bill in stages or on a recurring cycle?

Yes. Milestone billing supports invoicing work in stages, and recurring invoices support ongoing service agreements.

Can I take payment on a quote?

Not yet. Payments are recorded against invoices. Taking a deposit directly on the quote is not built.

Does Field replace my accounting system?

Field handles quotes, invoices and payment records. It does not provide a general ledger, bank reconciliation or tax filing. Records export as CSV, and direct accounting connections to Xero or QuickBooks are not available yet.
