Features / Assets, equipment and stock

Your crew is ready. Where are the parts?

The van is loaded, the customer is expecting you, and the part you thought was on the shelf is gone. Now someone is calling suppliers while the crew waits. Field helps you keep stock, purchasing and shared equipment in view, so you can spot what needs attention before the next job.

Another trip to the supplier before the job can start?

You used the last few fittings yesterday. Nobody wrote it down, and today you discover the empty box when you need it. A small part has become a delay for the whole crew.

In Field, record materials as they are used and set a reorder point for each item. Recorded usage can reduce the stock level, and the low-stock view shows what has fallen below your threshold. You have a place to check before loading up.

The count depends on keeping usage and receipts up to date. Field gives those everyday entries somewhere to go.

Who had the tool last?

One crew thinks it is in the other van. The other crew thinks it came back yesterday. You are ringing around for equipment you already own.

Keep custody details with the equipment in Field. Record who has it and log faults against the asset, so you have a trail to follow when a tool needs returning or attention.

Did anyone actually order it?

Someone asked for more stock. Someone else said they would sort it. A few days later, nobody knows whether it was approved, ordered or delivered.

Raise a purchase request in Field and follow it through approval, ordering and receipt. Your team can check where it stands before placing another order or chasing the supplier.

Where suppliers have published a Field catalogue, you can order there too. The supplier dispatches, your team confirms receipt, and payment follows the supplier terms.

The parts went into the job. Did they make it onto the bill?

The work is finished, but the receipt is on a phone and the extra parts are in someone’s memory. The office is trying to put the invoice together after everyone has moved on.

Record material usage against the job or shift while the details are fresh. Keep receipts and variance checks alongside it, giving the office records to review when checking costs and preparing the invoice.

Start with the items that hold up your work

  1. Set up the item or assetCreate stock items, equipment or assets with the details you need for operations and costing.
  2. Use it on the jobRecord material usage against the job or shift so costs can flow into the job record.
  3. Request what is missingA purchase request can move through requested, approved, ordered and received states.
  4. Check the receiptMaterial receipts and variance checks help compare what came in against what was billed or expected.
  5. Keep custody visibleEquipment and asset records can show who has what and when it needs review.

Stock is practical in beta, but it is not warehouse management. Start with the items that regularly affect invoices or callbacks.

What this helps with first

Choose a few frequently used parts and one shared piece of equipment. Record usage, check the stock level and follow a purchase request through to receipt.

Check that your team can find the quantities, job entries and custody details they need. Add more items once the everyday recordkeeping fits your work.

What it does not do yet
  • It does not split stock by warehouse, van or site yet.
  • It does not send a formatted purchase order document to the supplier.
  • Supplier catalogues are published inside Field. It does not automatically import catalogues from external supplier systems.
  • It does not manage fleet compliance, registrations or insurance records as a full fleet system.

Who it is for

Field teams where parts, consumables, tools or shared equipment regularly affect the job cost or whether the work can be completed.

Start with the stock and equipment that causes the most rework. You do not need to catalogue every screwdriver on day one.

Questions before you move stock into Field

Can I track parts used on a job?

Yes. Materials can be recorded against the job so the cost and invoice record are not rebuilt from memory.

Does stock reduce automatically?

Recorded usage can reduce the item level. Check the setup and the low-stock card before relying on it for every item.

Can I raise a supplier purchase order?

You can raise and approve purchase requests, or order products from a published Field supplier catalogue. Suppliers can dispatch catalogue orders and buyers confirm receipt. Payment follows supplier terms. A formatted purchase order document is not built yet.

Can I see who has equipment?

Field has asset and custody records for operational visibility. It is not a complete fleet or asset finance system.

How much does it cost?

Do I have to sign a contract?
