How to price an office cleaning contract
An office cleaning contract is priced per visit, then multiplied out to a monthly and contract total. Getting the visit price right matters most, because any mistake repeats on every visit. This calculator shows the visit price, an average month, the yearly total and the whole contract value.
- Walk the site and work out how many cleaners you need and how many hours each one will spend per visit.
- Enter your hourly rate for one cleaner and the number of regular visits per week.
- Add per-visit costs that are not in your hourly rate: supplies, travel, washroom consumables, waste removal and any after-hours surcharge.
- If the contract includes a monthly deep clean outside the regular visits, enter it as a separate monthly charge.
- Enter the contract length in months and the tax rate that applies to your business. The calculator then shows the monthly, yearly and whole contract values.
- Check the per-visit total against the time on site. If it looks thin, review your hours before you send the quote.
Tips and common mistakes
- The average month uses 52 weeks divided by 12, so some months will have more visits than others. Make your contract clear on whether you bill per visit or a fixed monthly amount.
- Washroom consumables can add up quickly in a busy office. Price them separately so you are not covering usage you cannot control.
- Build a regular price review into longer contracts. Wages and supply costs can change over the term.
- Hours per cleaner are not combined team hours. Two cleaners for 2 hours each is 4 labour hours per visit.
Questions
How much should I charge for office cleaning?
Start with the labour for each visit: cleaners times hours times your hourly rate. Add supplies, travel, consumables and any extras, then multiply by visits to get a monthly figure. Your rate should cover your real costs and profit in your area.
How do I calculate the monthly cost of a cleaning contract?
Multiply your per-visit price by visits per week, then by 52, and divide by 12. That gives an average month, since months do not all have the same number of weeks. Add any fixed monthly charges, such as a deep clean, on top.
How do I quote for a commercial cleaning contract?
Visit the site first and note floor types, washrooms, kitchens and access times. Estimate hours per visit, then combine those hours with your rate and per-visit costs to build the price. Show the visit price, monthly price and contract value so the client can compare quotes easily.
Should I charge more for after-hours office cleaning?
Many cleaners charge more for evening, early morning or weekend work, as staff and travel costs can be higher at those times. Decide what is fair for your business and any rules that apply to your staff. The calculator lets you add an after-hours surcharge to each visit.
Is it better to charge per visit or per month for office cleaning?
A fixed monthly price is easy for the client to budget, while per-visit billing follows the actual number of visits. Either works if the contract states it clearly. The calculator shows both figures so you can choose.
