Field — Authorized User Terms
Pre-release draft — pending legal review
Field has not launched yet. This document is published so it can be reviewed and so the rest of the product can link to it. It has not been finalised by qualified counsel, and text shown in square brackets is still to be settled. It is not a binding agreement in this form. We will publish the final version, with an effective date, before Field is generally available.
Effective date: [DATE] · Last updated: [DATE]
The short version
Field is a work app. Your employer runs it, and decides what you do in it. We run the software.
Three things worth knowing before you read on:
- Your account is yours. Not your employer's. Don't share it.
- Your work record is yours to keep. Your credentials, your training and your verified
hours travel with you when you change jobs.
- Your employer can see your work in Field — including your location during shifts,
if they've turned that on.
The rest of this explains those properly.
1. Who this is between
These Authorized User Terms are between you and Xanivar Labs Pte. Ltd. (UEN 202607828N, registered at 160 Robinson Road, #14-04 Singapore Business Federation Center, Singapore 068914) — "Xanivar", "we", "us". They cover your own use of Xanivar Field ("Field").
Your employer — or whoever gave you access — has a separate agreement with us. That agreement is between them and us, and you are not a party to it. Nothing you agree here changes it, and nothing here creates any employment relationship between you and us.
We are not your employer. Questions about your work, your pay, your hours, your roster or your job are for your employer, not for us.
2. You need to be old enough to work
You must be at least 16, or the minimum working age where you live if that is higher.
3. Your account
Your account belongs to you personally.
- Do not share your login. Not with a colleague, not with a supervisor, not with your
employer. If someone else needs access, they need their own account.
- Do not clock in or out for anyone else, and do not ask anyone to do it for you. Time
records are used to pay people. Falsifying them may be fraud, and it is a matter between you and your employer.
- Keep your password to yourself, and tell us or your employer promptly if you think
someone else has got into your account.
4. Your profile is yours to keep
This is the part most worth reading.
Field keeps two different kinds of information, and they are treated differently.
Your employer's records — the jobs, schedules, timesheets, visits, quotes, invoices and customer details of the business you work for. These belong to your employer. We hold them on their behalf. When you leave, your access to them ends.
Your own profile — who you are, the credentials and licences you hold, the training you have completed, and your verified work record. This belongs to you. It is not your employer's, even though you built it while working for them, and we do not delete it when you leave. We look after it for you, not for them.
One catch, and it matters: you can only reach it if you can still sign in. If you registered with a work email address and your employer switches that mailbox off, we may have no way to let you back in — the record still exists, but the door is shut. That is why §11 asks you to add a personal email. It takes a minute.
4.1 What travels with you
Your identity and contact details. Your credentials and licences. A record of training you completed, saying what it was, when, and who issued it. Your verified work record — the shifts you completed, the hours you worked, who you worked for, and whether your attendance was confirmed.
4.2 What does not travel with you
Your employer's business is not yours to take. Your record will not include:
- who their customers are — names, addresses or contact details;
- the sites or premises where you worked;
- their pricing, quotes, invoices or commercial terms;
- their confidential information or training materials;
- photos and other media you captured on the job, unless your employer has released them.
So your record shows the shape of your work — how much, how long, for whom, verified or not — and not your employer's client list. That is deliberate. It is what makes the record something we can let you carry without taking someone else's business with it.
4.3 If your employer disputes something
An employer can dispute or withdraw something they recorded about you — for example a training record. We are not the judge of who is right. What we will not do is let a record be quietly changed or removed after the fact without that being visible.
5. What your employer can see and do
Your employer set Field up and decides how it is configured. Depending on their settings, they can see:
- when you clock in and out, and your hours;
- the jobs, shifts and visits assigned to you and what you recorded against them;
- notes, photos and other media you add to work records;
- your location during shifts and visits, if they have turned that on and you have
granted the permission (see §6);
- the credentials and documents you have uploaded.
They can also remove your access at any time, without notice to us or to you. If that happens, you lose access to their records immediately. Your own profile stays yours — see §4.
Field is not a disciplinary system. We do not score you, rank you, or make decisions about your work. What your employer does with what they see is between you and them, and is governed by your employment arrangement and local law.
6. Location, your camera and your phone
Field can use parts of your phone, but only with your permission, and you can withdraw any of them at any time in your device settings.
- Location — used to record clock-ins and visits, where your employer has enabled it.
We do not track your location in the background unless your employer's configuration and your permissions both allow it.
- Camera — to take photos of work and to scan QR codes for check-in.
- Microphone — only so you can dictate notes instead of typing. **Field does not record
calls, and does not listen in the background.** Dictation uses your browser or phone's own speech-to-text, or an on-device transcriber.
- Notifications — for shifts, jobs and messages.
If you turn location off, parts of Field will stop working — you may not be able to clock in or confirm a visit. That is a matter to raise with your employer, because it may affect how your work is recorded.
If being tracked at work concerns you, that is a reasonable thing to raise with your employer, and in many places there are legal limits on workplace monitoring. We cannot advise you on that, but we can tell you plainly what the app does, which is what this section is for.
7. Your credentials — you are responsible for what you upload
When you add a licence, ticket, certificate or insurance document:
- You are responsible for it being genuine, accurate and current. So are the expiry
dates you enter.
- We do not check it. Field stores what you upload and shows what you typed. We do not
contact the issuing body, and we do not confirm that any document is real or still valid.
- Your employer is responsible for actually checking a credential before relying on it.
Uploading a false or expired credential can put people at risk and may be a criminal offence. Do not do it.
8. What "verified" means on your record
Field uses the word "verified" in one narrow, specific way, and it is worth being precise about it.
Verified means: you clocked in and out, and your device's location placed you at the work. That is something Field observed itself, so we are willing to stand behind it.
Verified does not mean that we have checked your credentials, confirmed the quality of your work, or that any employer has vouched for you. Anything an employer records about you is shown as their statement, on a date, not as a fact we have confirmed.
9. Using Field properly
Please do not:
- share your login, or use anyone else's;
- enter information you know to be false — including time records and credentials;
- take your employer's customer or commercial information out of Field for your own use;
- upload anything unlawful, or anything you do not have the right to upload;
- photograph people or private property without a lawful reason to do so;
- try to break, probe or get around Field's security, or access accounts and data that are
not yours;
- use Field to harass anyone.
If you seriously or repeatedly break these rules, we can suspend or close your access. We will tell you why, unless there is a legal reason we cannot.
10. Your rights over your own data
For your own profile, we are the controller — so you can come to us directly. You can ask to see it, correct it, get a copy in a portable form, or have it deleted. Contact us at ops@xanivarlabs.com.
For your employer's records about your work — jobs, timesheets, visits — your employer is the controller. Ask them, and we will help them respond.
The full picture is in the Field Privacy Policy https://field.xanivar.com/privacy. Depending on where you live you may have further rights that cannot be signed away, and nothing here removes them.
11. Add a personal email — this matters
If you signed up with a work email address, please add a personal backup email in Settings → Account.
Here is why. If you leave and your employer switches off your work mailbox, that may be the only way into your account. Your work record is yours, but we can only give it to you if we can still reach you. It takes a minute and it is the single most useful thing you can do to protect your record.
12. Deleting your account
You can delete your Field account at any time in Settings → Account, or request it at https://field.xanivar.com/delete-account without signing in.
We wait 48 hours before acting, so you can change your mind. After that it cannot be undone.
Deleting your account removes your login, your profile and your own record. It does not remove your employer's records of the work you did — their jobs, timesheets and visit records belong to them, and they may be legally required to keep them. We also keep what the law requires us to keep, with your name removed where we can.
13. Cookies and analytics
Your choice about optional analytics is separate from accepting these Terms. Accepting these Terms is not consent to analytics, and declining analytics does not affect your access to Field. Change your choice any time in Settings → Privacy. See the Cookie Policy https://field.xanivar.com/cookies.
14. Field is a tool, not a guarantee
We work to keep Field available and accurate, but we cannot promise it will never be unavailable, and it depends on things outside our control — your phone, your battery, your signal, and your employer's configuration.
Do not rely on Field in an emergency. It is not an emergency service and is not designed to summon help. In an emergency, contact your local emergency services.
To the extent the law allows, we are not liable to you for loss arising from your use of Field. Nothing in these Terms excludes liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be excluded — and nothing here affects rights you have under the law of the country you are in that cannot be excluded by agreement.
15. Changes to these Terms
If we make a significant change we will tell you in the app before it takes effect. If you do not agree, you can stop using Field and delete your account.
16. Law
These Terms are governed by the laws of Singapore. That does not take away the protection of any mandatory law of the country you live or work in, and you may be able to bring proceedings in your local courts where that right cannot be excluded.
