How to work out missing or extra pieces on a linen manifest

When linen goes out and comes back, the counts should match the manifest. Missing pieces cost money, and extra pieces may belong to someone else. This checker compares the pieces issued with the pieces returned clean, soiled and damaged, and shows the difference.

  1. Use one pickup or one customer manifest at a time.
  2. Enter the pieces issued from the manifest.
  3. Count the returned pieces and split them into returned clean, returned soiled and returned damaged. Count each piece once.
  4. Read the returned total, the damaged pieces within returns and the manifest difference.
  5. If there is a difference, recount and check item types against the signed manifest before raising it with the customer.

Tips and common mistakes

  • Count each returned piece once only. A damaged piece that is also soiled goes in one group, not both.
  • Check item types, not just totals. A towel returned in place of a sheet still leaves a sheet missing.
  • Count at handover where you can, so any gap can be agreed on the spot.
  • Keep a record of differences by customer to spot ongoing losses.

Questions

How do you check a linen manifest?

Take the pieces issued on the manifest and compare them with every piece returned, whether clean, soiled or damaged. If the returned total is lower, pieces are missing. If it is higher, extra pieces have come back.

Do damaged pieces count as returned linen?

Yes. A damaged piece has come back, so it counts towards the returned total. The checker shows damaged pieces within the returns so you can deal with them separately.

What should I do if linen is missing?

Recount, check item types against the signed manifest and check whether pieces came back in a different pickup. If the gap remains, raise it with the customer using your agreed process.

Why would more linen come back than was issued?

Pieces from an earlier delivery, items belonging to another customer or a counting error can all cause extras. Check labels or markings and correct the record before the next delivery.
